Here are job descriptions for the current board positions:

 

Co-President(s)

  • Serves as chief executive leaders of the PTO, working to strengthen the bond between parents, teachers, and the school. 
  • Act as the primary liaisons between the school administration, teachers, parents, and the wider community, facilitating open communication and fostering positive relationships.
  • Collaborate with the Treasurer to develop and manage the PTO budget, authorize expenditures, and oversee fundraising efforts. 
  • Lead volunteer recruitment and motivation, delegating tasks and providing guidance to board members and committee chairs, to ensure the successful planning and execution of PTO events and programs. 
  • Work closely with the school principal and staff to support school initiatives, attending school meetings as needed, and fostering a collaborative environment. 
  • This position demands strong organizational, communication, and interpersonal skills, as well as a commitment to the school's mission.

Treasurer

  • Manages the PTO's financial affairs, ensuring accurate records and responsible fund management. 
  • Requires meticulous attention to detail and a commitment to transparency.
  • Responsibilities include maintaining detailed financial records of all income and expenses, reconciling bank statements monthly, and using accounting software or spreadsheets to track transactions. 
  • Working closely with the PTO Co-Presidents, the Treasurer develops and manages the annual budget, providing regular financial reports to the Executive Board and general membership. 
  • Processes payments and reimbursements and deposit funds from fundraising.
  • Handles tax and compliance matters, filing necessary forms. 
  • Assists with any financial audits and helps develop internal controls to protect PTO funds.
  • Requires proficiency in basic accounting, experience with financial software, and the ability to handle confidential information with discretion.

Family Events Coordinator

  • Responsible for planning and executing 3-4 events each throughout the year.
  • Recruits chairpeople to help plan various school events and oversees them.
  • Liaison between their chairs and the board and will give updates on each event. 
  • Serves as main point of contact for the events they organize. 
  • There are two Family Event Coordinators, so they can work together on events or individually (it’s up to their work dynamic)
  • Contributes new ideas for fun family/school events and presents them to the Board and Co-President

Communications Coordinator

  • Maintains the PTO website, newsletter, What’s App Groups, and social media channels (if applicable).
  • In charge of email blasts to parents about upcoming PTO events and happenings.
  • Prepares emails for special academic events, such as the “Honoring our Heroes” competition or other academic events.
  • Creates and distributes monthly Room Parent emails to Room Parents.
  • Serves as the point of contact for Room Parents with questions/concerns.
  • Answers questions from parents and the community over email or other communication channels

Teacher Appreciation Coordinator

  • Plans and executes events to recognize and celebrate the school's teachers and staff, including Teacher Appreciation Week and various lunches and special occasions throughout the year.
  • Fosters a positive environment and strengthens school-community relationships.
  • Manages the appreciation budget, tracking expenses and ensuring responsible spending. 
  • Provides clear instructions to any volunteers helping with Teacher Appreciation events.
  • Contributes new ideas to recognize and support teachers
  • Serve as the main point of contact for Room Parents, answering their questions and providing guidance as needed.

Community Engagement Coordinator

  • Develops and strengthens relationships with local businesses and organizations.
  • Secures financial and in-kind sponsorships from local businesses to support PTO initiatives. 
  • Ensure recognition of corporate sponsors and community partners at PTO events and in promotional materials. 
  • Sets and achieves fundraising goals and tracks sponsorship income. 
  • Collaborates with event committees to secure sponsorships for specific programs and ensures sponsors receive promised benefits. 
  • Help promote sponsors through various channels, ensuring logos and messaging are accurately displayed.
  • Coordinates and plans between 6 to 8 school spirit nights as well as Kona Ice events throughout the school year.

Yearbook Committee

  • We will use a yearbook vendor that makes designing the yearbook as easy as possible, however, the Yearbook Committee is responsible for coordinating with students, teachers, and staff to gather content, including photos, content, and artwork. 
  • Work with Co-Presidents and DCES Admin team to establish deadlines for submissions and completion. 
  • Organizes photo sessions for classes and events and recruits volunteers to help with taking and uploading photos of events throughout the year. 
  • Design page layouts (using the Yearbook software), and edit content for accuracy and style. 
  • Organizes yearbook sales and distribution.
